Card statuses were introduced to indicate progress of completing a Card . Use Card Statuses when you have used Lists for another perspective/dimension than progress. Once you enable this feature in Card status settings, they will appear on every Card in a Board.
Enabling Card statuses
Card statuses are disabled by default in every Board. To use them, you have to enable them first.
To enable Card statuses, enter Board Settings and click on Card statuses icon.
Click on the Enable button. Card statuses are enabled now.
In a scenario when you don't have Card statuses enabled in a Board, List roles will be set to all Lists.
Statuses will be hidden on Cards once you enable List roles.
Here are improvements to Card statuses introduced in KanBo 2.7:
- Removal of the status should set the default value for cards before being removed.
- Creating a card should set its default status if the board has statuses enabled.
- Creating card from to do item should set its default status if the board has statuses enabled.
Adding and configuring Card statuses
After enabling Card statuses, you can finally manage them.
You can add new statuses, give them meaning and change their color.
Once you enable Card statuses, you will see three default statuses.
Not started - which is the initial status by default. This means that this status is used to determine a status to be set to new cards. This status will be set to all existing Cards once you enable Card Statuses in a Board.
In progress - this status serves to indicate that a card is already in progress of completing it.
Completed - this is is a status indicating that a card is completed.
You can add other statuses by clicking on +Add button.
After clicking on +Add button, you can set your own status. Enter a custom name, the role of the status and select a color. Select Add button to save your status.
Configure status roles
Introduction to roles
There are 3 fixed roles out of which each status must choose its Role. Status cannot exist without a role. The possible roles are: None, Not started, In progress and Completed. Not started is a default one when creating a new status.
None - this role doesn't indicate work. You can add this role to cards which have i.e. informational purpose.
Not started - which is the initial role by default. This means that a status with that role is used to determine a status to be set to new cards. This status will be set to all existing Cards once you enable Card Statuses in a Board.
In progress - this role indicates that a card is in progress
Completed - this role indicates that a card has been completed. Cards with this status will be marked as completed in Analytics and there will be indicated inside of a card about its completion.
In a freshly created Board, when you enable statuses (and List Roles are ignored), the meaning of a role is derived from a status. You will have the following roles for Statuses:
- Not started has Not started status role
- In progress has In progress status role
- Completed has Completed status role
One of the statuses has a flag "default" which means that it is used to determine a status to be set to new cards.
A role for status might appear many times or none. You can choose multiple statuses to share the same Role.
Also, completion of a Card is determined by the Completed role of any Status (if a Card has a status which has the Completed role it means that this Card is completed).
In the example below, you can see that there is one status with role Not started, 4 statuses with role In Progress and 2 statuses with role Completed.
Add or change a role
To configure a role in status, enter one of the statuses and click on it.
Now you can select a role from the dropdown menu. Click on save.
Editing Card statuses
You can change a name and color of every previously added Card statuses, including the default ones.
To edit a Card status, click on its name. Now change the following:
- a new name for status in the Name field,
- its new role (select the role from dropdown menu),
- change its color from the color picker.
Click on Save button.
Your Card status has been changed.
Changing order of Card statuses
To change the order of Card statuses, simply drag and drop your status to the desired place.
Setting a Card status as default
You can set your Card status to be default which means this status will be an initial one.
To set status as default, click on the more button next to the name of the status. Select Set as default.
Setting a Card status as completed.
You can set your Card status as completed which means this status will be a final one by default. It also means that all Cards with this status will be marked as completed.
Cards with this status will be marked as completed in Analytics and there will be indicated inside of a card about its completion.
You must change this status role to Completed. You can choose multiple statuses to have Completed role.
Changing Card statuses of a Card.
All Card statuses which have been set in Card statuses settings will appear in every Card of a Board. There are three ways to change statuses.
Changing status in a Card by clicking on the Status button.
Enter a Card. Select the desired Status button and click on one of the statuses in the menu.
There are some special cases regarding status of role none.
The status of role „none” might be used for cards which have an informational role. As it does not represent the progress of completing a card, this status will no longer be visualized in a card.
In case when status „none” is the first status in a board, it won’t be shown in the progress of a card.
In case when status „none” is located in the middle of card statuses and it will be chosen, it will be visualized in the following manner.
In case you would like to change the status to „none” in a card, use the dropdown menu.
Changing status in a Board's view
Click on Card statuses button. Now you can select a Card status by clicking on one.

Once you enable Card statuses in a Board, you can filter all cards in it by their statuses.
Select Group by statuses in the right corner of a Board.
Now you can see a Board with Card statuses serving as Lists.
Moving Cards between Card status Lists will result in changing Card's status.
Moving Statuses as Lists will result in changing the order of the Statuses.
Filter cards by Card statuses
You can use Board filter to search for exact cards. Statuses can be used for filter.
